Wilson Award Recipient Announced

The American Society for Indexing and EBSCO Publishing are pleased to announce that the 2013 ASI/H.W. Wilson Award for Excellence in Indexing will be awarded to Kate Mertes for her index to My Thoughts (Mes Pensées) by Montesquieu, translated and edited by Henry C. Clark. An EBSCO Publishing representative will present the award to Kate during the Wilson Awards luncheon on Thursday, April 18, at the ASI Conference in San Antonio, Texas. See the full press release.

Nominations for the 2013 Wilson Award

Nominations for the 2013 American Society for Indexing/H. W. Wilson Award for Excellence are welcomed beginning December 1, 2012. The submission deadline is February 23, 2013. To address "copyright creep," the criteria for eligibility has been updated to include books in distribution by December 31, 2012. This year's award will be presented at the Annual Conference for the American Society for Indexing, April 17–20, in San Antonio, Texas. See the full press release.

Tom Lundy Selected as New Key Words Editor

ASI is pleased to announce the selection of Tom Lundy as Editor of Key Words beginning January 1, 2013. Tom will be replacing Judy Reveal, who retired recently after providing excellent editorial service for the past six years. Key Words is the official bulletin of the American Society for Indexing. Beginning with the January 2013 issue, Key Words will be published monthly online in pdf format, with cumulative print issues of feature content. 2012 Revision of the International Agreement

The International Affiliation Agreement reflects the current relationships between several international indexing societies. The agreement marks the development of international relationships between these societies, and the support and exchange of ideas that the societies can offer to each other. The full agreement which lists the affiliated Societies, Associate Groups and Networks is available under the Affiliations section of the ASI Website.

How to Embed the ASIndexing Profile Widget

There is a new way to follow ASI on Twitter. The American Society for Indexing announces a new widget people can use to help keep up with all the ASI news on Twitter. ASI Member Rose Ippolito and her business partner have created a page that explains how. The widget displays the 100 most recent tweets in a scrollable area that shows the most recent 4 tweets. The page is also available in a .zip file so that it can be downloaded and added to other websites, for Chapters and SIGs, for example. Many thanks to ASI Member Rose Ippolito and her business partner for so graciously setting this up for us!

Reciprocal Agreement with the Society for Technical Communications

Did you know that ASI and the Society for Technical Communication have a formal Memorandum of Understanding that brings benefits to members of both organizations? This is a summary of what the agreements means to you as a member of ASI.

  • ASI members receive STC member registration rates for events organized by STC. ASI members also receive STC member rates for STC products. The reverse is also true in that STC members get ASI member registration rates and member rates on products.
  • ASI is recognized as an STC member on the ASI homepage and vice versa.
  • Both organizations reference and promote each other's events, except those within 30 days of annual conferences.
  • ASI and STC may co-develop and/or co-host joint educational events.
  • There is a reciprocal trade for advertising in each other's membership magazines.

The 2010 Hines and Wilson Awards

The Hines Award Committee is very proud to announce Enid L. Zafran as the 2010 recipient of the Hines Award. Enid is a shining example of an individual who has shown continuous, dedicated, and exceptional service to the membership of ASI, as this prestigious award warrants. ASI Members who attend the annual conference in Minneapolis will have the opportunity to celebrate Enid’s achievements at a special awards presentation, and to hear her speak about her career and indexing philosophy. The ASI/H.W. Wilson Company Indexing Award is presented to an indexer and a publisher for a stellar index, an index that can serve as a model for emulation.The 2010 committee members agreed unanimously that none of the submissions were of that caliber. This is the seventh time that this award has not been bestowed. We had eight submissions, considerably fewer than last year. The varieties of volume type and subject matter were impressive, ranging from an encyclopedia to textbooks, from scholarly tomes to books for the general public. Single and multi-volume works were represented. Among the fields covered were children’s and social issues, history, anthropology, and medicine. The committee was very pleased to see the wide range of book type and subject matter.Unfortunately all of the submissions had serious flaws. Each index had internal inconsistencies, e.g., locators for double postings and for flipped entries were not identical. Serious cross reference issues arose with circular See also references appearing and basic See references (e.g., farming. See agriculture) missing. Orphan subentries abounded, as did long strings of locators off main entries. In some cases locators were inaccurate. In a number of cases entire topics were not in the index.In several books the typesetting made reading and deciphering the index difficult. The absence of continued lines at the top of columns left readers unsure if they were looking at a subentry or a sub-subentry. (The Award, it should be remembered, goes to the publisher as well as the indexer.)

The award process is completely blind. None of the judges had any idea of the identity of any of the indexers, or even if a submission came from the indexer or the publisher. All of the judges began the day-long process expecting to select a winning index. I thank the Wilson Committee members for their thoughtful analyses and hard work: Terry Casey, Rose Coad, Barbara DeGennaro (who was unable to attend), Terri Hudoba, Peg Mauer, and Kate Mertes. Thank you also to our registrar, Lee Humphrey, who completely covered any indicators of an indexer’s identity. And finally my thanks go to the H.W. Wilson Company for its commitment to excellence in indexing and for sponsoring this award for 32 years. I urge indexers to redouble their efforts to achieve excellence in indexing by applying the Wilson Award criteria to their work and by submitting those indexes for award consideration. Further, I urge publishers to remember readability and comprehensibility when designing and laying out an index. I am sure that many excellent indexes were published in 2009; the committee simply did not receive them. However, I look forward to participating in the selection of a Wilson Award winner next year. Indexing Society of Canada (ISC) Conference, May 26-27, 2010

"Ten for Ten: Perfecting Our Craft" will be held at Dawson College, Montreal. Keynote speaker is Michèle Hudon, an experienced indexer recognized internationally as a researcher and consultant in thesaurus development and multilingual subject access. Other sessions include a panel on ethics, a multi-speaker presentaton on indexing archival images, a presentation on the revised ISO guidelines for thesaurus construction, and a peer review session.

New Edition of Index It Right! Advice from the Experts Now Available

ASI president Kate Mertes announced the publication of Index It Right! Advice from the Experts, Volume 2, edited by Janet Perlman & Enid L. Zafran, 2010. We all owe a vote of thanks to Janet, Enid, and all the contributors who worked so hard to produce this splendid volume and made it a book that should be in every indexer’s library. The second volume in this series provides a range of topics. Dealing with the technique of indexing, it covers how to write subheadings (Towery & Agee) and how to handle locators and page numbers (Russell). For specialty areas, articles deal with public policy (Zafran), textbooks (McVey), technical writing (Wright), and naval and military documents (Patton). In format types, it offers guidance on database indexing (Mamassian), taxonomies and thesauri (Hedden), and embedded techniques (Haskins). Starting an Indexing Business, 4th edition, Now Available

ASI is pleased to announce that the the fourth edition of Starting an Indexing Business is now available for sale on the publications page of this website and through our publisher, ITI. The editors are Enid L. Zafran and Joan Shapiro, and contributors include Fred Leise, Pilar Wyman, Christine Michaud, Melanie Krueger, and Fran Lennie (in addition to Joan and Enid). This edition has some new features that will be of interest to those in the indexing field for a while, as well as to newbies: for example, a sample letter agreement, an article about packagers, and an article on the various types of liability and risk that indexers may encounter. The 3rd edition has been a perennial best seller for ASI and ITI, and we are sure the 4th edition will continue this streak, so make sure to get a copy before they sell out!

2009 Web Indexing Award Announced

The winner of the 2009 Web Indexing Award, awarded by the ASI's Web Indexing Special Interest Group, is Mary Russell. Her index to the Australian and New Zealand Society of Indexers (ANZSI) web site at https://www.anzsi.org impressed the judges with its comprehensiveness and usability.

Submissions for the 2010 award will be accepted towards the end of 2009. The Award is open to members of ASI and affiliated indexing societies, in addition to members of the Information Architecture Institute (a partner organization).

Wright recipient of the 2009 ASI/H.W. Wilson Award

Jan C. Wright is the recipient of the 2009 ASI/H.W. Wilson Award for her index to Real World Adobe InDesign CS3, by Olav Martin Kvern and David Blatner. The book was published by Peachpit Press in 2008. It is the first time a technical manual has won the award. Jan will receive a plaque and a check for $1000 at the ASI conference in Portland.

ASI's Name Changed to American Society for Indexing

A bylaws amendment changing ASI's name to the American Society for Indexing has been approved by 83.5% of the members voting in the 2008 election. The name change is effective immediately, and will be phased in at both the national and chapter/SIG levels over the next few months.

New Publication: Indexing Specialties: Web Sites

ASI Publications Committee is pleased to announce a new entry in the Indexing Specialties series. The book, by Heather Hedden, is entitled Indexing Specialties: Web Sites.

The book presents a logical and coherent explanation of how to index web sites using various types of software. Heather has given popular online courses and conference workshops on web site indexing. She intends the book for use by both those experienced with HTML and those new to the world of web indexing. She deals with topics of converting book indexes to web formats, discusses specific software tools, and explores style and presentation considerations.

The minutes of the 2006 international meeting of the indexing societies, which took place immediately before the opening of the joint ASI/ISC Toronto conference last June, have been posted in the Members Area of this website. ASI Announces the Training in Indexing Course

The ASI Training in Indexing course is now available for ASI members. You will be able to learn about indexing and how to index via 3 self-study units supplied on an interactive CD-ROM:

Unit A - Indexers, Users and Documents
Unit B - Choice and Form of Entries
Unit C - Arrangement and Presentation of Indexes and Thesauri

Each unit provides self-assessment exercises with answers, as well as interactive exercises as you proceed through the material. Study time for each unit is approximately 40-50 hours.

Examinations, testing acquired knowledge as well as indexing skill, may be taken at the completion of each unit. Students successfully meeting the requirements of all three examinations will be awarded a certificate of completion by ASI.

Note (November 21, 2006): Unit A of the Training in Indexing course has now shipped to a charter group of students. Units B and C will be ready to ship within the next two weeks.

President's Letter Posted

The second in a bimonthly series of president's newsletters has been posted to our site.

The Washington, D.C. Chapter Has Changed its Name to the Mid- and South-Atlantic Chapter (MSA)

The Washington, D.C. Chapter has changed its name to the Mid- and South-Atlantic Chapter (MSA). Founded in 1978, the DC Chapter was created for indexers serving the Washington publishing community, spurred in part by the publishing needs of the U.S. government. Over the years this Chapter's membership has provided workshops on a variety of topics which have drawn attendees from large distances. While chapter meetings have been in the metro DC area, we do hope to locate meeting spaces further afield to transform this local chapter into the regional chapter it has become. Recently the September (2006) workshop on getting started in indexing drew people from North Carolina and western Pennsylvania. More localized meetings in northern Virginia, Maryland and Pennsylvania have also provided forums for indexers to gather and share experiences and ideas. Members of this chapter range from Pennsylvania, through Maryland, the District of Columbia, Virginia, the Carolinas, and Florida in addition to other states and countries.

Discussions about changing the chapter name began last spring at the suggestion of Barbara DeGennaro. The bylaws had to be changed by a vote of chapter members and approved by the ASI Board. Instead of paper ballots, we used the ASI office electronic voting system. Participation was the best ever — 50% of the membership voted. Participation with paper ballots had never been that good. The balloting was complete in early September. ASI Board approval followed in mid-September.

There are many procedural changes to be made on the ASI website, on the chapter website, and with emailing the chapter officers. We were hoping to make some of those changes before this announcement but decided the announcement was too important, so watch for those changes in the weeks to come.

Judy Reveal Named New Editor for Key Words

ASI is pleased to announce the selection of a new Key Words editor, Judy Reveal. ASI Training in Indexing Course Appointments

Ina Gravitz Accepts Position of SIG Coordinator

Ina Gravitz, who has served as the chair of our Membership Committee, has agreed to accept the position of SIG Coordinator. Her background will serve her well, as she works to develop stronger communication and collaboration among ASI's many affiliated special interest groups and to encourage their development as an integral part of ASI's function. She writes, "As SIG Coordinator I will facilitate communication among the SIGs. Why reinvent the wheel? Many SIGs already developed effective marketing ideas and innovative education programs. ... I intend to publicize the existence of SIGs to the general indexing community and to the ASI community through ASI-L and Key Words." You can reach Ina at sigs@asindexing.org.

Stephanie Reymann Accepts Chair of Membership Committee

Stephanie Reymann is taking over the chair of the Membership Committee. She served on this committee for the past two years, on the Nominating Committee, and on the board of the Twin Cities Minnesota Chapter for 2000–2004, so she has demonstrated skills in talking to our members at all levels. She is a freelance indexer who specializes in a wide variety of subject matter, holds a B.A. in political science from the University of Notre Dame, and was a senior buyer for two major department store retailers ... before finding her true calling with us! We are excited having Stephanie more involved in membership concerns. It is our expectation that she will help ASI to meet the needs of our membership, as well as help our members and potential membership better understand the opportunities and value that ASI provides. Cumulative Index to The Indexer Now Available Online

The cumulative index to The Indexer, vols. 20–25 (1996–2006) is now on The Indexer website (www.theindexer.org). The index will be further developed by the journal's editorial board as time permits.

New Board Member Announced

Kay Schlembach has accepted a board appointment, replacing Lucie Haskins, who resigned from the national board for personal reasons. The board voted to appoint Kay Schlembach to complete the two-year remainder of Lucie's directorship term. Although Kay stepped down at the end of her 2006 term, by accepting the reappointment she returns to service through 2008.

Indexing Body of Knowledge Available for Review

The Credentialing Committee has developed a DRAFT description of an Indexing Body of Knowledge that would form the basis for any credentialing process that might be eventually adopted for ASI. The document is now available for review and member comment in the Members Area under Documents & Reports.

ASI Training Course and Credentialing

Resource Center Jointly Accredited

ASI's staff, more formally known as The Resource Center for Associations (RC), is a professional association management company (AMC) that is active in the American Society of Association Executives (ASAE) and the International Association of Association Management Companies (IAAMC). Both organizations offer accreditation to members that meet very high and stringent criteria and standards. ASAE accredited RC as a charter company and reaccredited them last year. IAAMC has just announced RC's accreditation also.

There are hundreds of AMCs around the world. However there are only 18 AMCs worldwide jointly accredited by both ASAE and IAAMC. RC is proud of the recognition and the honor and wants ASI members to know that they will continue their commitment to these standards of excellence and towards ASI's successful future.

ASI is pleased to present the results of its 2004 salary survey, including analysis and commentary on results of interest and historical comparisons.
